This Privacy Policy explains how 4KEY BRIDGE collects, uses and protects information when you visit this website or contact us through it.

Who we are

4KEY BRIDGE is operated by Evgenii Kotov and Milana Kotova, who act as joint controllers of the personal data described in this policy. You can reach us at info@4keybridge.com, or in writing at U Prazske cary 1056, 266 01 Beroun, Czech Republic. Either of us will respond to any request sent to that address.

Information we collect

When you use the contact form on this website, we collect the information you choose to provide. Name and email address are required, so we can identify you and reply — if you don't provide them, we won't be able to respond to your inquiry. Company name, phone number (and the country you select for it), the service you're interested in, the areas you'd like help with, and your message are all optional; you can submit the form without them.

If you book a call using our booking link, the details of that booking — your name, email address and the time you selected — are added to our Google Calendar once you complete it. This uses the same Google Workspace account as the mailbox described above, not a separate third-party scheduling service.

Like most websites, our hosting provider may automatically log technical information such as your IP address and request details as part of normal server operation. This is standard infrastructure logging by our hosting provider, not something we collect or view ourselves in the course of responding to your inquiry.

Cookies and tracking

We do not currently use cookies, analytics, advertising or tracking technologies on this website. If that changes, we will update this policy and, where required, ask for your consent first.

How we use your information

We use the information you submit to respond to your inquiry, discuss a potential project or service with you, and — if you book a call — prepare for and follow up on that call. We do not use it for marketing, profiling or automated decision-making, and we do not send marketing emails.

Where your message asks us to take steps toward providing a service — for example, requesting a quote or a paid consultation — we process your information because it is necessary to take those steps at your request, before entering into a contract. For general inquiries that aren't tied to a specific request like that, we rely on our legitimate interest in responding to messages sent to us through this website.

Sharing your information

We do not sell your information, and we do not share it with third parties for their own marketing purposes. We share it only with the service providers who help us operate this website and respond to you, and only to the extent needed for them to do that:

• Google Workspace — hosts the mailbox that receives your message (sent over a secure connection) and stores the resulting email thread, and the Google Calendar where a call booking is added if you book one.
• Vercel — hosts this website and the contact form, and processes your submission in order to deliver it to our mailbox.

International data transfers

Some of the providers listed above may process information outside the country where you are located, including in the United States. Where that happens, we rely on the safeguards our providers offer for these transfers under their own data processing agreements. We have not restricted our providers to EU-only data storage, and we do not guarantee that your information stays within the EU/EEA at every stage of processing.

Data retention

If your inquiry does not lead to a project, we aim to delete it within 12 months of our last substantive contact with you — for example, the last time we exchanged messages about it. If you go on to work with us, we keep the information relevant to that engagement for as long as needed for the engagement and as required by applicable law. This 12-month rule is what we apply to contact-form inquiries and related correspondence; it doesn't by itself describe how long backups, technical logs or calendar bookings are kept, since those are managed under our hosting and Google Workspace providers' own retention settings.

Your rights

Depending on where you live, you may have the right to access, correct, delete or restrict the use of your information, to object to certain processing, and to ask for a copy of the information you gave us in a portable format. To exercise any of these rights, contact us at info@4keybridge.com. You also have the right to lodge a complaint with a data protection supervisory authority — in the Czech Republic, this is the Office for Personal Data Protection (Úřad pro ochranu osobních údajů, ÚOOÚ, www.uoou.cz) — or the supervisory authority in your own country.

Changes to this policy

We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated date.
